Sending shipping notices and invoices
Shipping notices and invoices are transmitted in the VDA4913, DESADV and INVOIC formats. While the VDA format is quite fixed in terms of content, the EDIFACT formats leave a lot of room for individual variations in terms of format and transmitted data.
In this area ipOFTP handles these tasks for you :
- Transfer of delivery and invoice data from an in-house system
- Conversion into the VDA or EDIFACT format required by the customer
- Secure transmission of shipping notifications and invoices
Setup
For sending advance shipping notices it is sufficient to set up outgoing connections. Therefore, only part of a complete OFTP configuration is required for this functionality.
- Internet access, Odette identification, certificate
- Fixed IP address if required by the customer
- Access to a share from ipOFTP or access to ipOFTP from your system.
Operation
The inbound and outbound folders of the ipOFTP communication box are accessible as a share in the local network. Data to be sent is stored in the outgoing folder of the respective customer.
It must be set up in your inhouse system that at the same time when a delivery note or invoice is written its content is written and saved as a file. The file format can be CSV or an application-specific format.
The file can be provided to ipOFTP in a customer-independent format. ipOFTP then converts the data into the file format requested by the customer.
The files sent and their contents can be viewed with a browser
by access to to the ipOFTP communication box.
